How to Choose a Wedding Planner in Delhi for a Big-Budget Wedding

How to choose a wedding planner in Delhi for a big-budget wedding

Let me tell you something that nobody in the wedding industry wants to say out loud.

Most couples planning a big-budget wedding in Delhi spend the first three months talking to the wrong people. They meet five planners, get five beautiful pitch decks, and then make their decision based on who had the nicest office or the smoothest sales pitch.

And then the stress begins.

I have been in this industry long enough to see what goes wrong when the choice is made fast and the contract is signed before the right questions are asked. A big-budget wedding in Delhi is not just a large party. It is a multi-day operation involving vendors across catering, décor, artists, logistics teams, hotel blocks, and security — all running at the same time. One weak link in that chain costs you real money and real memories.

So here is a practical, honest guide on how to choose a wedding planner in Delhi who is actually built for a celebration at that scale.

First, Understand What “Big Budget” Actually Means in Delhi

Before you start interviewing planners, get your number anchored to reality.

According to the WedMeGood Annual Wedding Industry Report 2025–2026 (based on a survey of 2,000+ couples and 500+ vendors), the average wedding budget in Delhi sits at ₹38 lakh. That is the average. A luxury or big-budget wedding in Delhi typically starts at ₹50 lakh and can cross ₹3 crore for multi-day celebrations at premium properties.

For context, CoTrav’s co-founder Vinod Kumar Sah noted — in a PTI report from December 2025 — that from their experience with around 60 luxury destination weddings in 2025, a five-star wedding today typically carries a budget in the ₹3 crore-plus range, with 20–25% allocated to premium venues and 50–60% directed toward décor, food, and planning.

Why does this matter? A planner who manages ₹15 lakh weddings every week has a completely different vendor network, negotiation power, and operational muscle than one who routinely manages ₹1 crore+ events. Both are legitimate businesses. They are not the same thing.

Know your budget range. Then find a planner whose average project lives inside that range.

Why the Wrong Planner Is Your Most Expensive Decision

At ₹50 lakh+, a 10% planning mistake does not cost you ₹50,000. It costs ₹5 lakh.

A bad vendor coordination at this scale means a caterer who runs out of non-veg on night two, a lighting rig that goes up wrong and has to be redone the morning of the ceremony, or a performer whose rider was misread and now wants an additional payment at midnight.

These things happen. What separates a great wedding planner from an average one is not whether problems occur — it is how fast they solve them without the couple ever knowing.

At a big-budget wedding in Delhi, you need a planner who has built real relationships, not just a contacts list. There is a meaningful difference between those two things.

What to Actually Look for in a Wedding Planner in Delhi

1. Real Experience at Your Budget Level

Ask directly: “What is the average budget of the weddings you manage?”

You want an honest answer, not a polished one. If a planner’s average event is ₹20 lakh and yours is ₹1 crore, they may be capable — but you are betting your wedding on a significant stretch. Look for someone where your budget is their normal, not their biggest project ever.

Also ask how many weddings they manage per year. A good luxury planner is selective. If someone tells you they handle 80 weddings a year, ask how many team members they have. Math matters here.

2. Check Their Portfolio — And Look for High-Profile Weddings

This is one of the most honest signals a planner’s portfolio can give you.

Any planner can photograph a beautiful wedding. But when a planner has managed a high-profile wedding — a prominent family, a senior political figure, a well-known business family — it tells you something that a standard portfolio cannot. It tells you the planner can manage extreme complexity, extraordinary security and logistics requirements, very high guest expectations, and the pressure of national-level public attention, all without the event looking like any of that is happening.

At Refuge Weddings, one of the memorable events was the destination wedding of Girish and Prachi Nadda—the elder son of BJP National President Shri JP Nadda (Jagat Prakash Nadda). The wedding unfolded at Gulab Bagh Palace near Pushkar, Rajasthan, and followed both Himachali and Rajasthani customs across multiple days. Senior national political leaders attended.

When you evaluate a planner’s portfolio, do not just look at the décor. Look at the scale, the guest profile, and the complexity they have managed. That is the real indicator.

3. A Team Structure, Not Just a Founder

This is something couples consistently overlook.

You might meet a brilliant individual in your initial consultation. But on your wedding night, that person cannot be at the entrance, the kitchen, the bridal suite, the baraat route, and the stage simultaneously. A planner at scale needs dedicated coordinators for each zone of your event.

Ask specifically: “Who will be on-site on each day of my wedding, and what is each person’s responsibility?” Get those names. Meet those people if you can. They are the ones actually running your event.

4. Vendor Relationships That Can Actually Deliver

Delhi has no shortage of décor vendors who will show you a beautiful portfolio. The question is: can they execute at the size you need, on the dates you need, within the budget you have?

A well-connected wedding planner in Delhi already knows which decorators can pull off a 1,000-guest sangeet without cutting corners. They know which caterers have the kitchen infrastructure for multi-cuisine menus at scale. And they know which ones to avoid — because they have seen them fail.

Ask to see two or three vendor names they regularly work with for luxury events. Then do a quick check on those vendors yourself. If the planner hesitates on that question, that tells you something worth knowing.

5. Transparent Budget Management

Here is where you separate professionals from salespeople.

A skilled wedding planner at the luxury level gives you a detailed budget breakdown before you sign. They can tell you exactly how planning fees are structured — fixed fee, percentage of total spend, or hybrid — and what is included versus what comes as add-ons.

According to WedMeGood’s 2025–2026 industry data, planning fee structures vary widely across the market. What matters is clarity upfront. Any vagueness around “we will sort it out as we go” is a red flag at this budget level.

Ask them to walk you through a sample budget for a wedding similar to yours. How they explain it tells you as much as what they say.

6. They Ask More Questions Than They Answer in the First Meeting

The first consultation with a good planner should feel more like a focused interview than a sales presentation.

They should want to know your family dynamics (joint decisions or couple-only?), the guest profile (how many out-of-station guests, senior family members, children?), your absolute non-negotiables, and — importantly — what you have seen at other weddings that you never want repeated at yours.

If a planner spends 45 minutes showing you a deck and 5 minutes asking about you, they are selling you a product. They are not building your wedding.

Questions to Ask Before Signing Any Contract

Write these down before your consultation. Do not skip them.

On experience: How many weddings at this budget level have you managed in Delhi in the past two years?

On team: Who is my dedicated point of contact? Who leads on-ground operations on each wedding day?

On vendors: Do you work with fixed vendors exclusively, or can we bring our own? What happens if our chosen vendor conflicts with your process?

On fees: Is your planning fee fixed or a percentage? What happens if the total budget increases during planning?

On emergencies: Can you give me a specific example of a crisis you handled at a wedding and exactly how you resolved it?

On contract: What does your cancellation and payment milestone structure look like?

The answers matter. But how confidently and specifically they answer matters more. Vague responses to direct questions during a consultation are a reliable preview of vague responses when you are six weeks out from your wedding date and something goes wrong.

Red Flags to Watch For

Not every planner operating in Delhi is right for a high-budget wedding. Watch for these:

They cannot reference any high-profile work. Most experienced luxury planners can point to two or three significant events — prominent family weddings, large corporate events, high-security occasions. If they deflect on this entirely, ask why.

Their response time during the consultation process is slow. If they take three days to send you a follow-up document after your first meeting, that timeline will only get worse when you are eight weeks out and decisions need to happen in hours.

They push specific vendors before understanding your vision. A planner who recommends a decorator in the first meeting without understanding your aesthetic is managing their vendor relationships, not your wedding.

Nothing discussed verbally appears in writing before the contract. If they resist putting the scope of services in writing before you sign, resist signing.

The Market Is Growing. So Is the Noise.

India’s wedding services market is projected to grow at 14.3% CAGR through 2030, according to a 2026 industry analysis citing Grand View Research and IBEF data. That means more planners entering the market every season, more options for couples, and significantly more noise to cut through.

The couple who does the homework now — before the engagement season pressure kicks in and venue dates start disappearing — will always make a better decision than the one who rushes because a calendar slot is about to close.

We Work Only on Big-Budget Weddings. That Is a Deliberate Choice.

At Refuge Weddings, we do not plan every kind of wedding. We plan luxury weddings — the kind where the scale is large, the guest list includes people who have high expectations, and the stakes of getting it wrong are significant.

The Girish and Prachi Nadda wedding is one example. The planning, vendor coordination, multi-state logistics, and multi-day execution that went into that event represent what we do at our normal operating level.

If you are planning a big-budget wedding in Delhi and want to speak with a team that has genuinely done this before — at the scale you are imagining — we would like to hear from you.

A good wedding planner in Delhi for a big-budget wedding is not just a vendor. They hold your vision, your budget, your timeline, and your family’s expectations together for the next six to eighteen months.

That role deserves more than a 20-minute call and a decision based on who had the best Instagram feed.

Take your time. Ask the hard questions. Make sure the person sitting across from you has actually done this before — at your scale, in your city, with the kind of wedding you are imagining.

When those things align, the planning process stops feeling like a job. It starts feeling like what it is supposed to be.
